How GoSucceed CRM collects, uses, and protects your personal data

This Privacy Policy explains how Salters & Monroe Ltd trading as GoSucceed® (“GoSucceed”, “we”, “our”, “us”) collects and processes personal data about you in your capacity as a GoSucceed CRM account holder, authorised user, or prospective client.
This policy covers GoSucceed’s own use of your personal data as a Data Controller. It is separate from the Data Processing Addendum (DPA) which governs GoSucceed’s processing of your clients’ personal data as a Data Processor on your behalf.
1. Who We Are
Salters & Monroe Ltd (trading as GoSucceed®) is the Data Controller for the personal data described in this policy. We are registered in England and Wales under company number 13476747. For all data protection queries, please contact [email protected].
2. What Personal Data We Collect
2.1 Account and Identity Data
When you sign up for or use GoSucceed CRM we collect:
– Your name, job title, and company name
– Your email address and telephone number
– Your billing address and payment details (processed securely via our payment providers)
– Your login credentials (username; passwords are encrypted and never stored in plain text)
2.2 Usage and Technical Data
When you use the platform we automatically collect:
– Login timestamps and session activity
– IP address and browser type
– Feature usage and activity logs
– Support and communication records
2.3 Communications Data
If you contact us by email, phone, or through the platform we collect the content of those communications and your contact details.
3. How We Use Your Personal Data
We use your personal data for the following purposes:
Providing the Service To set up and manage your GoSucceed CRM account, provide access to the platform, and deliver support.
Billing and Payments To process your subscription payments and manage your account billing.
Security and Fraud Prevention To protect the platform, monitor for suspicious activity, and enforce our Terms of Service.
Legal Compliance To comply with our legal obligations including UK GDPR, Data Protection Act 2018, and PECR.
Service Improvement To understand how the platform is used and improve our features and services.
Communications To send you service updates, security notices, and information about changes to our Terms or this Policy.
Marketing To send you information about GoSucceed products and services where you have consented or where we have a legitimate interest to do so. You can opt out at any time.
4. Legal Basis for Processing
We process your personal data on the following legal bases under UK GDPR:
– Contract — processing necessary to provide the GoSucceed CRM service under our Terms of Service
– Legal obligation — where we are required to process data by law
– Legitimate interests — for security monitoring, fraud prevention, and service improvement where these interests are not overridden by your rights
– Consent — for marketing communications where required
5. Who We Share Your Data With
We do not sell your personal data. We may share your account and billing data with the following categories of third parties:
– Payment processors — GoCardless, Stripe, or Square for subscription billing (your payment card data is processed directly by these providers and not stored by GoSucceed)
– Accounting software — Xero, for invoicing and financial record keeping
– Email and communication tools — for sending account notifications and support communications
– Legal and regulatory authorities — where required by law
Note: the sub-processors used to deliver the GoSucceed CRM platform itself (AllClients LLC, Rackspace, SendGrid, Mailgun, Zapier, and Make.com) are listed in the GoSucceed CRM Terms of Service and Data Processing Addendum, which governs the processing of your clients’ data rather than your account data.
6. International Data Transfers
Some of our service providers are based outside the UK. Where we transfer your personal data outside the UK we ensure it is protected by an appropriate transfer mechanism, including:
– The UK-US Data Bridge (UK Extension to the EU-US Data Privacy Framework) for providers who are active certified participants
– Standard Contractual Clauses or the UK International Data Transfer Addendum (IDTA) where required

7. Data Retention
We retain your personal data for as long as your GoSucceed CRM account is active and for a period of 6 years following termination of your account, in line with our legal obligations and limitation periods under English law. Billing and financial records are retained for 7 years in accordance with HMRC requirements. Where data is no longer required we delete or anonymise it securely.
8. Your Rights
Under UK GDPR you have the following rights in relation to your personal data:
Right of Access Request a copy of the personal data we hold about you.
Right to Rectification Ask us to correct inaccurate or incomplete data.
Right to Erasure Request deletion of your data where there is no lawful reason to continue processing it.
Right to Restrict Processing Ask us to limit how we use your data in certain circumstances.
Right to Data Portability Receive your data in a structured, machine-readable format.
Right to Object Object to processing based on legitimate interests, including direct marketing.
Rights re Automated Decisions Not to be subject to decisions made solely by automated means that significantly affect you.
Right to Withdraw Consent Where processing is based on consent, withdraw it at any time without affecting prior processing.

9. Cookies
The GoSucceed CRM platform uses essential cookies to maintain your login session and platform functionality. We do not use tracking or advertising cookies on the CRM platform. 10. Changes to This Policy
We may update this Privacy Policy from time to time. When we do we will update the version number and effective date at the top of this document. Where changes are material we will notify you by email. Continued use of the GoSucceed CRM platform following notification of changes constitutes acceptance of the updated policy.
